1Work through a request

The Laboratory page has a tab for each step. A request moves along as you work.

    To collect

    New requests from clinicians. Collect the sample and mark it collected; the label shows the specimen and container.

  2. 2

    To receive

    Confirm the sample has arrived in the lab. If it is unsuitable, click “Reject” and give the reason; it goes to “Rejected (recollect)”.

    Processing

    Samples being run.

    Result entry

    Click “Enter results”, type the values (reference ranges and flags appear automatically) and add a comment, then “Save results”.

    To verify / To approve

    A second person checks and verifies the results. Once verified they are sent back to the clinician and the patient record.

    Print

    Click “Print report” for a report on your letterhead.

2Manage the test catalogue

    Open the catalogue

    Click “Test catalog”, then “Add test”.

  2. 2

    Describe the test

    Enter code, name, department, specimen, container, turnaround time (TAT) and the billing service code so the test is charged.

  3. 3

    Parameters and ranges

    Use “Add parameter” for each result (numeric, options or free text) and “Add range” for normal ranges by sex and age.

    Import many tests

    Use “Import from Excel” to load a whole catalogue at once.

3Test packages (profiles)

A package bundles several tests at one price, for example a medical check-up, an antenatal profile or a pre-employment panel.

    Create a package

    Open “Test catalog & packages”. In the packages card enter a code, name and description, tick the tests it includes and enter the “Package price (KES)” for each price list. Click “Save package”.

    Order a package

    Clinicians and the lab pick packages in the same list as single tests. The patient is charged once at the package price; each test in it still gets its own result.

    Unit or package price

    A test ordered on its own is charged at its unit price. The same test inside a package is not charged again.

4Walk-in and outside requests

For patients who come straight to the lab, or who bring a request form from another doctor or facility.

    Start

    On the Laboratory page click “Walk-in request”. Search for the patient; if they are new, register them at the front desk first.

  2. 2

    Who sent them

    If the request came from outside, enter the requesting doctor, their facility and the form reference. It is printed on the lab report.

    Payer, tests and priority

    Choose the payer (cash, insurance or corporate, with scheme and member number), pick the tests and packages and set the priority (routine, urgent or STAT).

  4. 4

    Register and bill

    Click “Register request & bill”. The request joins the lab worklist and the charges go to the cashier. From here it works like any other request.

Good to know

  • Staff need the “lab walk-in” permission. Lab technologists have it by default.
