Front desk: register, check in and emergencies
Find or register patients, avoid duplicates, check them in and register emergencies fast.

1Find a patient first

Open Front Desk
Go to “Front Desk” → “Register / Find Patient”.

Search
Type the name, phone, ID number or AFS patient number. Matching patients appear as you type.

Open the patient
If the patient is listed, click “Open patient”. Always search before registering to avoid duplicate records.
2Register a new patient

Start registration
If nobody matches, click “Register patient” to open “New Patient Registration”.

Check the national registry (optional)
Search the DHA Client Registry by ID to fill in verified details where your facility is connected.

Enter details
First name, last name, sex, date of birth, phone, county, sub-county and ward/village. Add identifiers (National ID, SHA number, birth certificate and so on) with “Add identifier”.

Next of kin and insurance
Add the next of kin and, if the patient is insured, the insurance provider and member number.

Save
Click “Register patient”. If AfeySync finds the same person already registered it shows “PATIENT ALREADY EXISTS”; open that record instead of creating a new one.
3Check in / walk-in

Open Check-in
Go to “Front Desk” → “Check-in / Walk-in”, or click “Check in” on the patient’s page.

Choose the visit type and payer
Pick the visit type and how the patient pays: Cash, SHA, Insurance or Corporate. For SHA use “Check eligibility” first; for insurance choose the scheme and member number.

Send the patient
Choose where the patient goes next (usually Triage), set the priority (Normal, Urgent or Emergency) and click “Check in”.

Already has an open visit?
If the patient already has an open visit you are told so; click “Open visit” to continue that one instead.
4Emergency registration

Open Emergency
Go to “Front Desk” → “Emergency”. Only the essentials are needed.

Enter what you know
First name if known, last name, sex and estimated age, who brought the patient, what happened and the presenting complaint.

Register
Click “Register emergency”. The patient goes straight to the emergency queue. Complete the full details later.
