Inventory and stock
Items, prices, batches and expiry, receiving, transfers, adjustments and Excel import.

New item
Go to “Inventory” → “Items” → “New item”. Enter the code, name, generic name, category, form, strength and unit.

Prices
Enter the selling price for each price list (cash, SHA, insurance, foreigner) and the billing service code.

Brand and pack
Enter the brand (trade name), manufacturer and barcode, and how it is bought: the pack unit (for example box) and how many units are in a pack. Stock is always counted in single units.

Reorder level
Set the reorder level so the item shows under “Low stock items” and on the reorder list before it runs out.

Import from Excel
For a whole drug list use “Import from Excel”: download the template, fill it in and upload. Thousands of rows can be imported at once; any row with a problem is listed so you can fix it and upload again.
2Receive, move and adjust stock

Receive stock
Click “Receive”, choose the item and location, enter batch number, expiry date, quantity and the invoice / delivery note reference. Tick “In packs” to enter boxes and the cost per box; AfeySync works out the units and unit cost.

Transfer
Click “Transfer” to move stock to another location (for example from the main store to the pharmacy). Earliest-expiring stock is moved first (FEFO).

Adjust
For breakages or stock-take differences enter a quantity change (+/−) and a reason. Every adjustment is audited.

Stock on hand and value
The top of the page shows stock value, low stock items and items with expired stock.

Batches and expiry
The “Batches” and “Expiring (90d)” tabs show what will expire soon so you can use it first.

Ledger
The “Ledger” shows every movement: receipts, dispensing, transfers and adjustments.
